Administration Assistant

General Job Description

Serves as main assistant to the Executive Director and other staff members and performs a full range of consultative, information gathering and administrative services of broad scope of complexity.

Job Duties and Responsibilities:

  • Database management and information and statistics processing;
  • Logistical support of all the events organized by the Commission;
  • Assistance to the Executive Director in the organization of the Board Meetings, namely gathering and sending information to Board Members, scheduling meetings, taking notes and writing the Minutes;
  • Administrative and organizational support to the communication and marketing activities of the Commission: back-office management of Website, social media, newsletter, outreach sessions, educational fairs, etc;
  • Provide information in person and by email and phone and answer web-based inquiries;
  • Assist in the preparation of reports, surveys and other documents;
  • Administrative tasks and office management: payments and receipts, equipment, office supplies, outsourced services, correspondence, travel and hotel booking, insurance, etc;
  • Collaborate on creating and revising systems and procedures as appropriate in conjunction with other staff members.


  • Detail oriented. Strong writing skills, reporting, Microsoft Office, data management, organization and prioritizing capacities, professionalism, problem solving drive;
  • The ideal candidate is highly responsible, flexible, adaptable and eager to learn, has team spirit and excellent communication

Preferred qualifications:

  • Undergraduate degree (licenciatura) in Administration, International Relations, Social Sciences, Education or related areas;
  • Excellent written and verbal communication abilities in Portuguese and in English;
  • Experience in similar position preferred but not required.
